SCMP Laptop Policy

Division of SCMP Policy For The Purchase Of A Laptop for HDR Candidates

 

With the approval of the supervisor and the Head of Department, HDR candidates may be reimbursed once for the purchase of a laptop, using funds from the HDR Departmental Fund Scheme.

These funds are only available for candidates who are still ‘on-time’ – i.e. candidature length of maximum 4 years full-time equivalent for PhD and 2 years full-time equivalent for Masters.

This scheme is administered by the Departments/Centres. You must submit an application requesting to use the HDR Departmental Fund for the purpose of laptop purchase. Please contact your supervisor and Department Administrator for further information.

All laptop purchases under this scheme must comply with the following conditions:

1. Candidates may not draw forward on the funds for subsequent years, however

subsequent annual allocations may be used to purchase upgrades and appropriate

software. Candidates need to include this in their budget plan

2. The laptop is the property of the University and must be returned to the SCMP IT Office once the candidate is no longer enrolled (see 10. for more information).

3. Candidates must purchase a laptop which has been approved by Siva, Computer System Manager, or Phillip Corben, the Division Manager, in accordance with the university purchasing policy. 4. Only new laptops with at least 3 years warranty will be approved for purchase.

5. All software loaded onto the computer must comply with the conditions set by the

manufacturer of the software. Pirated or unlicensed copies of applications must not be loaded onto the computer at any time. Some computer software is available from SCMP IT Support to be used under a corporate shared license. Please check SCMP IT support for information before purchasing your own copy. Reimbursements will NOT be allowed if the candidate has spent more on the software than it would have cost if acquired under University license.

6. The computer must not be used for any illegal purposes.

7. The University will provide one laptop only under this scheme. If the laptop is stolen, lost or misplaced it will not be replaced by the University. The custody and security of the computer and any accessories are your personal responsibility at all times. You must ensure that no other person uses your computer for his or her own purposes. Lost, stolen or damaged computers must be reported immediately to your supervisor and the Division Manager. Regardless of where the laptop is stolen from you must report the theft to the Police.

8. You must maintain virus protection software on the computer and ensure that the anti-virus software is updated in accordance with the requirements of the University.

9. You are entirely responsible for maintaining backup copies of your work that is stored on the computer.

10. If you withdraw, are terminated from or complete (submission of hard bound thesis) your Higher Degree Research you are required to return the laptop and any accessories to the Division IT support office.

11. If you encounter any problems with the computer you must contact SCMP IT support and repairs must be arranged by the SCMP IT Services only. SCMP IT staff can only provide limited assistance to students located off campus who have problems with the computer. SCMP IT staff will endeavour to provide assistance with software problems via email.
